AI in Mailamber

Mailamber includes an optional artificial intelligence (AI) assistant. This page explains in plain words what it does, which models it uses, what it can get wrong, what data it processes and how to turn it off. The binding rules on data processing are in section 10 of the privacy policy.
What AI does in Mailamber
The AI never starts on its own: it only works for the features you use or turn on, and only after you have accepted the AI notice in the app.
- On request (Plus and Premium plans): the writing assistant in the composer (chat, improving the text, changing the tone, translating the draft, proofreading, subject line and inline suggestions on Windows), summaries and translations of the email you are reading, quick replies and HTML email template generation.
- Automatic, only if you turn them on (all plans, Free included): smart priority with AI, which suggests a label such as “reply now” or “deadline”, and AI assistance for Smart spaces, which suggests a category for senders that the local rules do not recognise.
Everything else (sync, reading, search, rules, organising your mail) runs on your device, without external AI. Features and plans in detail in the guide Mailamber’s AI features.
How you can tell it is AI
When you use the assistant, you always know you are interacting with an AI system:
- AI features are marked in the app by the sparkle icon and “AI” labels;
- the assistant’s proposals carry the label “Generated with AI” (or “Translated with AI”) before you decide to use them; inline suggestions show it when you hover over them;
- next to the assistant’s input and below summaries, translations, quick replies and templates you always find a notice that the text is generated by AI and may contain mistakes, with a link to this page.
Mailamber never presents the AI as a person and never sends emails on your behalf: AI-proposed text only goes into your message if you apply it, and is only sent when you press Send.
Which models and providers we use
Mailamber does not develop its own AI models: the assistant is built on third-party general-purpose AI models. The necessary text goes through Mailamber’s servers in the European Union and from there to one of these providers:
- OpenRouter, Inc. (United States), which routes the request to models from different developers, open-weight models included, exclusively through providers that do not retain the data or use it for training;
- OpenAI, L.L.C. (United States), through its API;
- Anthropic, PBC (United States), through its API.
The model used for each request is chosen automatically based on the feature, the plan and availability, and may change over time for quality and reliability. Transfers outside the EU are made with the GDPR safeguards described in the privacy policy.
Limits: what the AI can get wrong
AI models generate plausible text, not verified text. Even when it looks convincing, the result may:
- contain factual errors, wrong names, dates or amounts, or made-up details;
- translate inaccurately, especially technical, legal or ambiguous terms;
- leave out an important point of the email in a summary;
- use a tone that does not suit the recipient or the context;
- assign the wrong priority label or category.
That is why Mailamber’s AI only provides suggestions: always reread the text before sending it and, for important details, rely on the original email. AI responses are not legal, tax, medical or other professional advice. You are the author of the emails you send and you remain responsible for them, as set out in the Terms of Service.
The assistant only answers email-related tasks and treats email content as data, not as instructions: instructions hidden in a message you receive are not executed (protection against prompt injection). No protection is perfect: if a result looks odd, discard it.
You stay in control
- every proposal is applied only when you click and, in the composer, can be undone with one click;
- priority labels and categories only help you organise your mail and you can correct them: no message is deleted, sent or blocked by a decision of the AI;
- Mailamber does not use AI to profile you or to take decisions that produce legal or similarly significant effects concerning you (Art. 22 GDPR).
What data the AI uses
Only the text needed for the feature you use is sent: your request and draft, the email to summarise or translate or, for automatic features, sender, subject and a short excerpt. Your signature, attachments, credentials and the rest of your mailbox are never sent.
The content is not logged on Mailamber’s servers and is never used to train AI models: only usage data (feature, model, amount of text, cost, outcome) is kept, for 12 months. How to turn it on or off
- Nothing is sent before your consent: the first time you use an AI feature, the app shows the notice and waits for your confirmation.
- Withdrawal: in the app’s Settings, “Artificial intelligence” section, you can withdraw your consent at any time, on Windows and on Android. From then on nothing more is sent and the automatic features switch off on all your devices.
- On request only: you can leave “AI priority” and “AI assist for uncertain senders” in Smart spaces turned off and use AI only when you press a command.
Mailamber remains fully usable without AI.
The rules we follow
- Regulation (EU) 2024/1689 on artificial intelligence (“AI Act”): we inform you that you are interacting with an AI system and make the content it generates recognisable in the app (Art. 50). Emails written with the help of AI remain under your editorial control: you review them and you send them.
- GDPR: the AI processes your data only with your explicit consent, which you can withdraw at any time, and without automated decisions concerning you (Arts. 6, 7, 13 and 22).
- Italian law on artificial intelligence (Law 132/2025): clear and simple information on the use of AI and on data processing. A Mailamber account, and therefore the AI, is reserved for people with legal capacity to enter into contracts: the service is not intended for minors.
