AI and privacy: consent and how your data is handled

In short

Nothing is sent to AI before you consent. After that, only the text a feature needs goes to Mailamber’s servers and from there to the AI providers; the content isn’t stored and is never used to train models. You can withdraw consent anytime in Settings.

Before using AI in Mailamber
AI never starts on its own: it only works for the features you use or turn on. Depending on the feature, this is what gets sent:
  • Summary, translation and quick replies: the text of the email you open.
  • Writing assistant and AI templates: your description or draft and, on replies and forwards, the quoted message.
  • AI priority, if you turn it on: sender, subject and a short excerpt of new messages.
  • Smart spaces AI assist, if you turn it on: sender and subject of senders the local rules don't recognize.
It goes to Mailamber's servers and from there to the AI providers OpenRouter, OpenAI and Anthropic, only to generate the response. The content isn't stored on Mailamber's servers and is never used to train AI models.
Nothing is sent before you accept. You can withdraw your consent anytime in Settings, and the app works fully without AI.

What gets sent, feature by feature?#

  • Summary, translation and quick replies: the text of the email you open.
  • Writing assistant and AI templates: your description or draft and, on replies and forwards, the quoted message.
  • AI priority, if you turn it on: sender, subject and a short excerpt of new messages.
  • Smart spaces AI assist, if you turn it on: sender and subject of senders the local rules don't recognize.
  • AI assistant in the composer (from Windows 1.14.0 and Android 1.4.0): your request, the subject and the text you wrote yourself; the original email only when the request needs it, and only if you don’t exclude it. Your signature is never sent, and the sidebar always shows what the AI reads.

Everything else — your mail, attachments and credentials — stays on your device.

Where does the text go?#

To Mailamber’s servers (in the European Union) and from there to the AI providers OpenRouter, OpenAI and Anthropic, only to generate the response. Requests to OpenRouter are sent with data collection turned off. The content is not stored on Mailamber’s servers and is never used to train AI models: we only keep usage data (feature, model, amount of text, cost) to calculate your plan limits. Transfers to providers in the United States are covered by the safeguards the GDPR requires, as explained in the privacy policy.

The first time you use an AI feature, Mailamber shows “Before using AI in Mailamber” with the list above. Press Got it, enable AI to continue, or close it: the app works fully without AI. You can also consent from Settings → Artificial intelligence with Accept and turn on.

On Android the consent is called AI consent: if the app can’t record it (for example when you’re offline), it sends nothing.

In Settings → Artificial intelligence, press Withdraw consent (on the phone: Withdraw). Every AI feature stops immediately: AI priority and the Smart spaces assist switch off, and the assistant will ask for your consent again before the next use. Withdrawal applies to your whole account, on every device.

Can the AI make mistakes?#

Yes: responses are generated automatically and may contain mistakes, omissions or made-up details. That is why every proposal carries the label “Generated with AI” before you use it and, next to the assistant and below summaries and translations, you always find a notice with the link How the AI works. Reread the text before sending it: you decide what to use. Features, providers, limits and how to turn it off are explained on the page AI in Mailamber.
