Templates: build HTML emails with variables and insert them with Ctrl+Shift+T
In short
Create templates in Tools → Templates as plain text, visual editor or HTML with preview, and use variables like {{first_name}} that fill themselves in from the recipient. In the message, press the Template button or Ctrl+Shift+T: search, fill in and insert. The Free plan includes 2 templates, Plus and Premium unlimited.
Templates are ready-made messages with the parts that change (name, company, date…) in the right place: write them once and drop them into any email in a moment.

Where do I find templates?#
In the sidebar, under Tools → Templates, or with Ctrl+K and the Templates command. The library helps you find them again:
- search by name, subject, text or
#tag; - the All, Favorites, Recently used, Categories and Tags filters, plus sorting (Favorites & recent, Most used, Name…);
- a star for favorites, which always come first;
- Duplicate, Delete (with confirmation) and Try, which shows what would be inserted for a sample recipient and doesn’t count as a use;
- how many times you’ve used each template and when you last did.
How do I create a template?#
- In Templates, press New template, or open the Gallery and start from a model.
- Enter a Name and, if you like, a Subject: it can contain variables and fills in the message subject.
- To find it again, add a Category, Tags (up to 12), a Color and a Language.
- Choose the format: Text for simple replies, Visual for bold, lists and links, HTML for complete layouts.
- Write the text and add variables from the Variable menu.
- Save. If you press Esc with unsaved changes, Mailamber asks whether to discard them.
Your signature isn’t part of the template: the message uses the one for the mailbox you’re writing from (see Signatures).
How do variables work?#
Write the parts that change in double curly braces, for example Dear {{first_name}}, please find attached the quote for {{project}}. You can set a default value, used if the field stays empty: {{first_name|customer}} writes “customer” when the name isn’t known. Names can contain accented letters, digits and _ . - ({{city}}, {{order_number}}).
Some variables fill themselves in when you insert the template:
{{first_name}},{{last_name}}and{{full_name}}: from the name of the first recipient in the To field (or from your contacts);{{email}}: the recipient’s address;{{company}}: the recipient’s company, if it’s in your contacts;{{date}}: today’s date in full;{{my_name}}: the name of the mailbox you’re writing from.
The Variable menu suggests names in the template’s language, but Mailamber recognizes them in every language: {{nome}} or {{vorname}} work just like {{first_name}}. You can always change an automatic value before inserting.
How do I build a polished HTML email?#
With the HTML format you write or paste the code (with syntax highlighting) and check it in the preview alongside, isolated just like the message that will be sent, in Desktop or Mobile and in a Light or Dark theme.
- Import .html loads a file exported from another program (up to 1 MB).
- Inline CSS moves the rules in
<style>blocks into attributes: many email clients ignore<style>. - The checks flag scripts (which will be removed), remote images, images without alt text, elements wider than 640 px, empty links and messages over 102 KB, which Gmail shows clipped.
- With Plus and Premium, Generate with AI creates a complete HTML email from your description; it uses your plan’s AI limits.
Can I start from a ready-made model?#
Yes: the Gallery has 10 carefully designed models that read well in every client and on phones, in 6 languages and with the accent color you prefer: follow-up after a meeting, quote, payment reminder, formal certified email (PEC), out of office, thank you, appointment confirmation, welcome new client, newsletter and document request. Pick one with Use this template, customize it and save it. From Windows 1.14.1 and Android 1.4.2 you can also insert one straight into the message without saving it: in the Templates tab choose Ready-made, fill in the fields and press Insert (if you have no saved templates yet, the tab starts right there); with Also save to my templates it also lands in your library.

How do I insert a template into a message?#
In the message, press the Templates button in the toolbar, next to AI, or Ctrl+Shift+T (even while typing). The Templates tab of the sidebar opens with the cursor in the search box: pick one with the arrow keys and Enter, check the variables and press Use.

- Automatic variables take their data from the first recipient in the To field, the sending mailbox and the app language: fill in the recipients first.
- The template subject fills in the message subject if it’s empty; if you’ve already written one, Mailamber offers Use it or Keep mine.
- An HTML layout in a new message switches to the HTML editor with preview, keeping your signature; in a reply, the text version of the template goes in.
- The first variable left empty is selected: just type. The others stay highlighted in the text until you fill them in.
What happens if a variable stays empty?#
Mailamber warns you before sending. If a placeholder like {{first_name}} from a template inserted in that message is still in the subject or text, Some variables are empty appears: Fill in now takes you to the spot to complete, Send anyway (or Schedule anyway for scheduled send) sends it as is. It works with Ctrl+Enter too; the highlighting never ends up in the sent message.
How many templates can I save?#
The Free plan includes 2; Plus and Premium unlimited. Library, gallery, HTML editor and variables are on every plan; only AI generation requires Plus or Premium.
Do templates reach my phone too?#
Yes, with shared settings your templates stay in sync across your account’s devices (with Plus or Premium, which include at least two devices). On Android you use them with Templates in the composer and manage them in Templates. From Android 1.4.0 the phone also shows category, tags and favorites, and has the same model gallery and the same editor as the PC. Usage counts stay on each device.
