Automatic rules for incoming mail

In short

Open “Rules” under Tools, create a rule with one or more conditions (sender, subject, attachments…) and the actions to run. Rules work on new incoming messages; “Apply now” also runs them on mail that’s already there. The Free plan includes 3.

How do I create a rule on my PC?#

  1. In the sidebar, under Tools, open Rules and press New rule.
  2. Give the rule a Name, for example “E.g. Newsletters → Archive”.
  3. In Apply to, choose a mailbox or All accounts.
  4. Choose whether All conditions (AND) or Any condition (OR) must apply.
  5. Add the Conditions and Actions, then press Save.

Which conditions and actions are there?#

Conditions on: Sender, Recipient, Cc, Subject, Has attachments, Unread and Date, with the comparisons “contains”, “equals”, “starts with”, “ends with”, “before” and “on or after”. Rules only read the headers, never the message body.

Actions: Mark as read, Flag, Move to a folder in the mailbox and Move to special folder (Archive, Junk or Trash). Moving to any folder requires a rule tied to a specific mailbox (“To move, pick a specific account”); the special folder, on the other hand, also works with rules for all accounts.

You can add up to 20 conditions and 10 actions per rule. Order matters: use Move up and Move down to decide which rule comes first.

When are rules applied?#

To new messages arriving in the inbox while Mailamber is running (including from the system tray). For mail that’s already there, or that arrived while the app was closed, use Apply now: Mailamber tells you how many messages were affected. Blocked senders are handled before rules.

Are the rules the same on the phone?#

Yes, with shared settings rules sync between your PC and phone. On the phone, though, rules are simpler: those created on the PC with more conditions or actions stay saved and keep working on the PC, but the phone doesn’t apply them. On Android you’ll find them under Tools: each rule has one condition (“Sender” or “Subject” that “Contains” some text) and one action: Archive, Move to Spam, Delete, Mark as read or Add to Starred. They’re applied to new messages during sync.

How many rules can I create?#

The Free plan includes 3; Plus and Premium unlimited.
